Five questions to ask before you walk through a commercial site

Five questions to ask before you walk through a commercial site

Confirm the documents, access, scope and people you need before a commercial site visit, so the walkthrough can resolve details rather than repeat basics.

Before a commercial cleaning walkthrough, confirm what you need to inspect, how you will get in and who can answer questions. These five questions help you prepare a useful visit rather than arrive without the information or access needed to assess the work.

This is the preparation stage, not a second sales call. Use the details already collected during the first conversation with the lead and ask only for missing information.

1. What site information can you share beforehand?

Request the address, approximate cleanable floor area, number of levels and main room types. Ask whether a floor plan or current cleaning schedule is available. A whole-building area may include spaces outside the proposed contract, so identify those separately.

Use these details to plan your inspection route and questions. Treat measurements and old schedules as starting points to check on site, not as a confirmed scope.

2. How will access and the appointment work?

Confirm the meeting point, host, arrival time and expected visit length. Ask about visitor registration, parking, loading access, any induction and whether you need particular clothing or protective equipment.

Check that your host can show you the relevant spaces, including storage and service areas. Ask whether photography is permitted and where it is restricted. Do not request alarm codes or other sensitive access details simply to arrange a quote visit.

3. Which tasks and service times should we assess?

Ask for the proposed cleaning frequency, preferred working window and a list of included areas. Separate routine work from periodic tasks such as carpet cleaning, floor maintenance or internal glass.

Identify areas that will remain occupied during cleaning and any spaces you cannot inspect at the appointment. If a necessary room is unavailable, agree how its condition and requirements will be verified before pricing it.

4. Who supplies consumables and equipment?

Clarify whether the client expects you to supply paper products, soap, bin liners, cleaning products or equipment. Ask what storage, water and suitable power access are available.

Do not assume equipment left on site is available for your use. Note any product restrictions or specialist surfaces so you can seek appropriate information rather than arrive with an unsuitable cleaning method.

5. What problems should we examine, and who should attend?

Ask for specific examples of what the client wants improved. “The kitchen needs more attention” is less useful than knowing which task is being missed and when the problem appears.

Find out whether a site contact, property manager or other reviewer needs to join. Request any written service expectations or assessment criteria they want reflected in the proposal.

Send a short visit confirmation

  • Restate the address, time, meeting point and attendees.
  • List documents to bring and unanswered questions.
  • Confirm any access or visitor requirements.
  • Explain which areas you plan to inspect.

Keep one working checklist for the appointment. The next stage is the on-site walkthrough, where you verify the information and record the conditions that will shape the quote.
